Challenge

Heartbeat of the Hunter was a brand-new country music festival designed to activate the Tocal Agricultural College site for large-scale concerts. The aim was to showcase local and national talent while creating a festival experience for the Maitland and Hunter Valley community.

The biggest hurdle came in the lead-up: heavy rain turned the setup day into a complete washout. Instead of the usual two-day build, the team had only one day to deliver full festival production. This meant adapting the plan, tightening timelines, and coordinating multiple crews under pressure.

Approach

JCEE supplied and managed all core production elements, ensuring the event could go ahead smoothly despite the conditions.

Our scope included:

  • Staging and rigging with a trailer stage built on the natural amphitheatre site
  • Audio and lighting with a full festival PA system, stage lighting, and control systems tailored for outdoor delivery
  • Backline and infrastructure including band gear, power distribution, and site-wide cabling
  • Crowd barriers and safety systems to create secure artist and audience zones
  • Event staff and stage management to coordinate artists, manage run sheets, and operate production during the show

Adaptations on the day:

  • Crews worked around soft ground conditions to safely position the trailer stage
  • Audio and lighting rigs were adjusted to account for wet weather risks and early wind
  • The natural amphitheatre’s slope was used to maximise sightlines and keep the audience experience strong

Outcome

Despite the challenges, the event came together successfully.

Audience experience: Hundreds of country music fans enjoyed a clear view of the stage and professional-quality sound in a stunning rural setting. The natural amphitheatre turned into an asset, providing both atmosphere and practical sightlines.

Artist delivery: All artist requirements were met. Bands reported being happy with the stage, audio quality, and backline supplied, allowing them to focus fully on their performances.

Client feedback: Tocal Field Days organisers commented that working with JCEE was easy and allowed them to focus on running the site and community engagement, knowing the production was in safe hands.

Operational win: Compressing two days of work into one was a logistical test, but it highlighted the crew’s ability to deliver under pressure.
